Choose where to connect
- Personal: Profile → My integrations → Connect on Outlook.
- Organization: Integrations page → Outlook card → Connect Outlook (admin only).

Authorize with Microsoft
Sign in and approve read-only mail access (
Mail.Read). Brink can read messages but never send or modify them.3
Bind mail folders
Bind the folders you want indexed to the relevant projects on the Projects page.
What gets synced
- Email messages and threads from the bound folders
- Attachments flow into the Document Center (calendar invites and signature images are skipped)
- New mail arrives near-real-time via Microsoft Graph push notifications; history backfills recent-first in 30-day windows (about a year)
Privacy
Outlook is treated as a private provider:- A personally connected Outlook is visible only to its owner.
- When an admin connects a mailbox organization-wide, Brink attributes the data to the actual mailbox owner (matched by email address to an org member) — not to the admin who clicked Connect. If Brink can’t determine the owner, the data is held unreadable rather than shared org-wide. The system fails closed on purpose.
Microsoft provides no token-revocation endpoint. Disconnecting deletes Brink’s stored credentials; to fully remove the grant, also remove the Brink app from your Microsoft account’s app permissions.
